Intake Forms have long been a streamlined way for clients to submit information on any website and have the information upload directly into your Biz-Trakker. Many affiliates deploy intake forms for their website “Contact Us” page, or as simple “Newsletter Sign-up” forms.
A couple of weeks ago I had a conversation with Debi at Loudoun SourceLink. Debi shared with me her challenges in getting client information into Biz-Trakker while speaking to clients on the phone. “I have trouble remembering where some of the information is stored in Biz-Trakker since the data fields are not all on the same page.” With a little bit of work, we were able to add a few additional fields to the Intake Form menu. We then helped Debi create a hidden page on her website with an intake form which has just about everything Debi needs to ask clients when they call for help. When a client calls for assistance she can now pull up this page, enter all of the needed client information in one fell swoop, then submit it. The next time she logs into Biz-Trakker all she has to do is “accept” the intake form, then record any referrals she made for the client.
KCSourceLink and MOSourceLink have since adopted this routine for getting client data into Biz-Trakker. For help implementing your own version please email CustomerSupport@USSourceLink.com.

Improved Survey Distribution Routine
Biz-Trakker’s survey system is a great way to capture a wide variety of client information; satisfaction, jobs created, demographic information and more. The survey distribution builder window no longer defaults to sending surveys via paper.

In our last enhancement release we added the ability to archive people within client records (the purpose of archiving people is to keep the history of any interactions associated with someone who no longer works for a Company Client).
In this release we add a Scout Report parameter which allows for including archived people in reports.

Batch Upload Improvements
The batch upload routine lets administrators upload data on multiple clients at once by using an Excel file. A new column for Client Website has been added to the sample batch file and other modifications provide for a quicker, less error prone upload.

Report EX611 and EX610 Address Changes
These reports previously pulled the address from the People Tab of company records. This logic has been changed to pull the address from the Company Tab when the zip code on the People Tab is blank.

Improved Provider Data Report (CT380)
Some affiliates have received an increased number of requests from foundations and governmental agencies interested in exploring the resources available to businesses in their communities. We’ve modified the Provider Data Table report (CT380), providing users with the option to filter providers based upon the services they provide.

HTML5 Replacing Silverlight
HTML5 has replaced the Silverlight control. This means users no longer need to install Silverlight before uploading files.
At our spring conference each year we solicit feedback from affiliates on how we can improve our technology. The message we heard loud and clear this year was a desire for improvements to the calendar. In this enhancement release we are rolling out a entirely new calendar which features:
- A visually cleaner layout.
- Improved speed tabbing from one month to the next.
- Website visitors can save events to their Google Calendar, Outlook or iCal.
- Day and Week default view options: Some affiliates have more events on their calendar than can be displayed on the month view format. Affiliates can now have their calendar default to a week view. End users can also select a Timeline View, which displays events over the next three days.
- New functionality for Administrators to Delete events from the Event Details page.
- Customizable Event Categories: Sherry at IASourceLink wanted to promote the state’s regulatory compliance training sessions, however none of the categories on the calendar seemed to apply. John at NetWork Kansas also wanted to have a new category unique to their program. Site administrators can now create their own categories for the calendar.
- Category, Start Date and End Date now display in the event listings in the backend of the website.

Custom “404 Error” Message
From time to time users stumble upon a broken link, or a page might just not load properly. When this happens a generic “404 Error” message comes up, which isn’t all that helpful. We’ve created a new message for these situations, which provides the user with your contact information and links to other helpful information on your site.
